Full Job Description

This position is a dynamic role requiring the job holder to be proactive, motivated and able to work on their own initiative: it is important to us that you are keen to be proactive in planning and managing workflows, able to work under pressure and to multi-task. Primarily, the role will be to provide administrative support to AE Programme and Client Managers and our Office Manager. Ensuring that planning, and delivery of programmes are completed to an excellent standard and with our clients and customers at the heart of what we do. Additional duties include supporting the operations team as is required to plan and run all programmes including kit and resource preparation.,

  • Answering telephone calls and passing calls/content to correct AE Core Team member;

  • Monitoring email accounts and responding to queries, questions and requests for further information;

  • Data entry and processing of participant information / data, keeping spreadsheets up to date and using attention to detail to flag up any information that requires further action.

  • Producing paperwork across all programmes that AE runs - this includes drafting items such as joining information for participants, sending out and collating Consent Form information, collecting and reviewing feedback, preparing and submitting course paperwork to different bodies and administration organisations e.g. for participants to gain certification;

  • Organising, storing and archiving paperwork, documents and computer-based files in accordance with GDPR best practice;

  • Handling and processing petty cash;

  • Undertaking basic accounting functions e.g. inputting receipts;

  • Assisting in the planning and execution of equipment and resources logistics across all AE programmes, this will include packing of expedition equipment and the processing / cleaning of returning kit.

  • Attending regular AE Core Team and sub-team/working group meetings;

  • Taking notes during meetings attending and recording minutes of meetings;

  • Assisting with other business needs and functions as they may arise from time to time.

    Founded in 2010, Adventure Expeditions is a Not-For-Profit organisation that uses the depth of experience of our staff team to deliver safe, quality outdoor programmes that are authentically adventurous - we provide real adventures. Our organisational aim is to widen participation in outdoor activities for young people. We deliver a range of outdoor education and DofE programmes throughout the UK. Our programmes are coordinated from our head office in Hathersage in the Peak District.

    The salary range is £22000 - £24000 pro rata depending on experience.


  • Hours of work:

    We will consider applications for either a full time or a 0.8 pro rata contact.

    Working hours are between 0900 - 1700, Monday - Friday.

    Annual leave:

    You will accrue an entitlement to paid annual holidays equivalent to 28 days during a complete holiday year. This entitlement includes bank and public holidays and is pro rata.

    In addition to their annual leave entitlement all AE employees receive additional annual leave over AE's Christmas Shutdown period. Dates for this are confirmed each year but this nominally runs from 23rd December until the 2nd January each year (inclusive).

    AE is willing to discuss periods of unpaid holiday leave with the post holder.
