Full Job Description

We need a motivated and experienced trainer and mentor for the development year of our National Lottery Heritage Fund supported project Sounds of the South West. This fixed-term, part-time, one-year post is to train and mentor Archives South West staff in

  • Cataloguing archival audio materials.

  • Clearing rights and observing data protection for sharing archival audio recordings online.


  • The project will be led by Bristol Archives in conjunction with Archives South West (the regional network of local authority archives) and heritage organisations across south-west England. If this development year is successful, it can unlock a further three years of funding for continued audio digitisation and engagement work.
    About you
    As part of a small project team, you'll take the lead in training and mentoring local authority archive staff and other regional heritage workers in:
  • Best practice in rights clearance & data protection requirements for sharing audio online, including researching rights ownership of selected material, locating and sending permissions requests to selected rights holders, and ensuring that the rights clearance process is recorded to a high standard to ensure proper due diligence audit trails are in place.

  • Best practice in cataloguing audio materials including using digital audio software to play and analyse audio files.


  • You'll be comfortable delivering these trainings both online and in person at venues around south west England. After the trainings, you'll set up online productive and friendly mentoring sessions to support the workers as they apply the information they have learned.
    You'll be key to the project meeting its rights clearance targets.
    You'll have experience of cataloguing in a library, archive, museum or other similar environment. This will include experience in cataloguing audio materials to appropriate standards.

    You'll also have a thorough knowledge of IPR & Data Protection issues and legislation as they relate to audio recordings. And, finally, you'll have experience designing and delivering training sessions.
    You bring excellent attention to detail to all your work. Your communication and interpersonal skills easily allow you to communicate complex information in an easy-to-understand way.

    You also have great time management skills. And you actively seek to always improve and update your knowledge.
    You'll be willing to travel around the project area to deliver in-person training.
