Full Job Description

You will be a point of contact, in addition to providing a helpdesk service to building users, ensuring an efficient Facilities Management service is provided to a key customer.
Your main aim will be to carry out a range of Facilities and Hospitality duties as required.

Completing Facilities tasks such as handling incoming and outgoing post, reporting maintenance issues within the office, setting up and checking of meeting rooms, issuing access cards, ordering and replenishing stock. Setting up office events.
You will be working Monday to Friday, 08:00 to 16:00, 37.5 hours per week, on a permanent, full-time basis.

You will:

  • Log building and equipment faults and provide information on progress of rectification.

  • Enter and maintain data on systems as required.

  • Oversee stock control and place orders for cleaning materials and consumables.

  • Process invoices.

  • Display applicable safety notices and ensure first aid and accident reporting is carried out correctly.

  • To assist in the day to day running of the site with duties including but not limited to

  • Post Room Management
    Printing
    Meeting and greeting visitors
    Setting up of Meeting Rooms
    Assisting with Hospitality Role
    Locker Management
    Raising and Closing jobs via the helpdesk
    Managing contractors on site
  • Assist with the management and development of the onsite contract team to be able to achieve the highest standard of work, with a positive team spirit, achieving Company agreed Absence & Turnover KPI's.

  • Maintain staff records and training within legislation and company policy, using both in-house and external training schemes.

  • Comply at all times with client, company and legal requirements such as health and safety, ensuring the display of notices, first aid and accident reporting, achieving compliance with ISO Standards & any associated KPI'S.

  • Ensure that the Contract operates within all current legislation and client policies and that where appropriate, staff are made aware of their responsibilities & trained accordingly in this regard.

  • Ensure that specified and correct standards of services are established and maintained and that any deficiency is reported and remedied ensuring no KPI failures., The role will be a key role in delivery of the one team culture for the client service delivery model.

  • Ownership of the meeting rooms onsite, ensuring equipment in them is in working order and room is in the correct layout.

    Good working knowledge of administrative processes

  • Ability to communicate effectively and solve problems

  • Good organisational skills

  • Good PC skills to include Outlook, Word and Excel

  • To have a good knowledge of both food hygiene and health & safety legislation and apply quality control procedures to ensure the maintenance of high standards of service, implementing any required changes to maintain compliance to client and company expectations.

  • To ensure that products, equipment and materials are properly cleaned, stored, used, maintained and controlled.
